IDLO INFORMATION NOTICE ON THE PROTECTION OF PERSONAL DATA
This notice is to inform you as the data subject that the International Development Law Organization (hereinafter “IDLO”) will process your personal data according to the conditions set forth below and consistent with the IDLO Personal Data Protection Policy (which is available at https://www.idlo.int/idlo-privacy-notice).
As provided in the IDLO Personal Data Protection Policy, the processing will be carried out in compliance with the principles of lawful, fair and transparent processing, purpose limitation, data minimization, accuracy, storage limitation, integrity and confidentiality, and accountability.

Purpose and legal basis of Processing
Your personal data will be processed by IDLO for the purpose of managing the selection process. This may include, as appropriate, processing in the context of screening and evaluation of applications, short-listing and interviewing of candidates, and reference-checking and selection.
Once the selection process has been completed, the data may be stored for precautionary purposes to address any inquiries related to the selection process and the protection of IDLO’s rights and, as appropriate, for use in the context of future vacancies.
The legal basis of data processing for the purpose indicated above consists in the necessity to take steps prior to the entry into a contract of employment, pursuant to Section 4.1 (ii) of IDLO Personal Data Protection Policy. Processing may also be necessary for IDLO to be able to fulfil its mandate or for compliance with a legal obligation in accordance with Section 4.1 (iv) and (vi) of IDLO Personal Data Protection Policy. With specific reference to the potential processing of special categories of personal data (for example data concerning health) if included in the application form, the Curriculum Vitae or obtained during the selection process, the legal basis of the processing consists in the necessity of carrying out obligations and exercising specific rights of the Controller or of the Data Subject in the field of employment and social security, pursuant to Section 4.1 (ii) of IDLO Personal Data Protection Policy.
Method of processing data
Personal data will be processed for the indicated purposes or those linked to them in both printed and digital form. Most of the processing will be carried out through IT software and external processors appointed by IDLO and will be stored in a manner that allows your identification for no longer than necessary for the purposes of the processing, in a way which is designed to protect the confidentiality and security of personal data.
In order to ensure the accuracy of the personal data, you shall communicate to IDLO any update in relation to the provided personal data.
Transfers to Third Parties
You acknowledge that, in order to perform activities related to fulfilling IDLO’s mandate, IDLO may need to disclose personal data to third parties, including contractors, service providers, implementing partners, and donors, for any purpose or processing listed in this notice. IDLO is not responsible for the data protection policies of such third parties which may not be subject to law and/or policies which provide the same level of data protection as IDLO.
Data Subject’s Rights
The IDLO Personal Data Protection Policy sets out certain rights of data subjects, including with respect to access, data portability, rectification, erasure and to object to the processing of personal data. To exercise these rights, the data subject may submit a request to IDLO Human Resources Department at the following e-mail address: dataprotection@idlo.int. The data subject may also pursue redress of specific concerns under the process set forth in Section 7.2 of IDLO Personal Data Protection Policy.
Nature of the processing and obligation of providing data
The data required are necessary for the selection process related to the potential recruitment. Failure to provide these data may result in exclusion from the selection process.
