Overview & Responsibilities

The Department of Programmes is the central management and coordinating function for programme delivery and capacity development. It is responsible for the implementation of IDLO’s global programme portfolio for field and non-field locations in line with organizational strategy.

Following the expansion of IDLO’s programmes, the organization is planning to establish an office in Uzbekistan to support operations within the country and the broader Central Asia region. IDLO intends to collaborate with state organizations in Uzbekistan as its initial partners.

Reporting to the Eastern Europe and Central Asia (EECA) Programme Coordinator. The Programme Associate works in close collaboration between IDLO’s Offices (Headquarters and IDLO office in Tashkent) and internal support functions to provide administrative and process assistance to programme teams to support programme delivery.

 

Job Requirements

1. Provide administrative support to the programme team and ensure process integrity, including:

  • Provision of Administrative Support to the Office Team and Ensure Process Integrity, including:
  • Coordinate end-to-end travel logistics for staff and stakeholders, including booking flights, accommodations, and ground transportation while ensuring cost-effectiveness and compliance with policies.
  • Ensure compliance with internal IDLO procedures, including the preparation, submission, and follow-up on Travel and Payment Requests, Purchase Requisitions, and other necessary documentation.
  • Draft clear and accurate minutes for meetings and calls with external donors or partners, ensuring timely dissemination to relevant stakeholders.
  • Maintain an organized and up-to-date master file of program-related data, including program records, technical publications, contracts, and other materials. Ensure these resources are easily accessible to management upon request.
  • Provide preliminary translations for programme-related documents and communications from Uzbek to English and vice versa.
  • Assist in organizing events, workshops, and conferences, including securing venues, coordinating participant travel, preparing event materials, and arranging for audio-visual and technical support.
  • Support registration processes, prepare attendance lists, and ensure that all attendees receive necessary details, including itineraries, meeting schedules, and location maps.
  • Provide real-time assistance during events and ensuring smooth operations throughout.

 2. Support Coordination of Work and Information Flow Between IDLO Head Quarters (HQ) and the Office in Tashkent, including provision of Support Functions (e.g., HR, Office of the General Counsel, Finance, Procurement):

  •  Support in processing contracts and amendments for Contractors/Consultants. Maintain up to date files and alert the Supervisor of action needed to be taken.
  • Coordinate the transmission of draft and narrative reports between IDLO offices.
  • Assist in the organization of institutional and programme events/courses/external visits/presentations and coordinate with other IDLO interested departments about these.  
  • Carry out research on specific topics to contribute to proposals, concept notes, briefing notes, summary status reports, and donor narrative reports.
  • Provide input for IDLO publications, communication materials, and web content.

Terms & Conditions

The duration of the single engagement is 6 months subjetc to extension.
